Bilingual Clinical Assistant

El Futuro is currently hiring a Bilingual Clinical Assistant to provide administrative support to the entire El Futuro office. We are seeking someone who is very committed to working with the Latino community in North Carolina and open to the unique challenges of working in a non-profit organization. This is a full-time position (40 hours) with benefits. Please note that the position starts virtually/in-person 1 to 2 days/week (while the clinics are closed) and later requires 100% in-person coverage in both locations: Durham and Siler City.

Virtual/In-Person Responsibilities:
Administrative Support” virtual functions:

  • Reminder phone calls to clients 1 business day before the scheduled appointment
  • Reminder text to client 1 business day before the schedule appointment with zoom information
  • Updating clinician’s schedule document
  • Other tasks as needed for the success of our virtual appointments

“Administrative Support” in-person functions

  • Greeting and connecting them to the virtual clinician
  • Administering COVID Health Screening for clients
  • Setting up the Zoom link with the clinician
  • Taking clients temperature
  • Setting up space for next client following cleaning protocols

Other

  • Maintain discretion with regards to private information (HIPAA compliance)
  • Keep professional distance from clients seeking someone to talk to
  • First-line security: call 911 if there is an emergency then follow crisis protocol

In-Person Responsibilities:
“Front Desk” functions

  • Answering incoming calls
  • Responding to inquiries about programs and services
  • Speaking with and assisting clients
  • Receiving and accommodating clients and visitors
  • Maintain order in the waiting area
  • Checking voicemail and following up

Facilitate appointments

  • Reminder phone calls to clients 2 business days before the scheduled appointment
  • Maintain schedules of each clinician based on their needs/preferences
  • Receive payments from clients

Process new clients

  • Client financial intake-Review forms and communicates financial responsibilities of the client to El Futuro.
  • Accurately and completely enter B-1 data into IMS

Office equipment and operations

  • Keep printers full of paper
  • Keep common areas straight and organized (break room, waiting area, office machine stations)
  •  

Other

  • Scan records into IMS regularly based on need
  • Maintain discretion with regards to private information (HIPAA compliance)
  • Keep professional distance from clients seeking someone to talk to
  • First-line security: call 911 if there is an emergency then follow crisis protocol
  • Direct incoming faxes to the appropriate recipient
  • Make sure that mail/client files/scanning cabinet is locked when you leave
  • File documents in the client’s file.

Virtua/In-Person Hours:
Monday to Friday: 9:00am-5:00pm

In-Person Work Hours [when the clinics open]:
Monday – 9:00am-5:00pm
Tuesday- 12:00pm-8:00pm
Wednesday – 9:00am-5:00pm
Thursday – 12:00pm-8:00pm
Friday – 9:00am-5:00pm

Requirements: Fully bilingual (English/Spanish) person with excellent customer service skills who thrives on solving problems and working in a team environment. The individual must have a high-level organization, prioritization, communication, and listening skills.
