Bilingual TeleHealth Administrative Assistant

El Futuro is currently hiring a Bilingual TeleHealth Administrative Assistant to provide logistical and administrative support to site based telebehavioral health clinicians, clients and site partners. We are seeking someone who is very committed to working with the Latino community in North Carolina and open to the unique challenges of working in a non-profit organization. This is a full-time position, 30 hours per week, with benefits, and will require working until 8:00pm, 3 or 4 evenings per week, some weekend hours, and Friday mornings from 9:00am-11am.

We are seeking someone who is passionate about working with the Latino community in North Carolina, and who has excellent customer service, administrative support, and organizational skills, preferably with experience in a healthcare setting.

Schedule:
Monday – Flexible
Tuesday- 3:00pm-8:00pm
Wednesday – 12:00pm-8:00pm
Thursday – 3:00pm-8:00pm
Friday – 9:00am-11:00am, rest of day flexible

Administrative Support Responsibilities (50%)
Participate in TeleBehavioral Health team meetings weekly
Participate in TeleBehavioral Health partner meetings weekly
Participate in Increibles team meetings weekly
Participate in scheduled 1:1 meetings w/ program staff and supervisor;
Entering registration information into EHR
Entering scheduling information into EHR and external scheduling platform
Generating data reports to share with the sites
Faxing necessary clinical documentation to the site;
Communicate in a clear and timely manner with TeleBehavioral Health team and Administrative team regarding areas of need and status of assigned tasks.

External TeleFuturo Services Responsibilities (40%)
Schedule telehealth (teletherapy and telepsychiatry) appointments in coordination with partner sites and referred clients, following established protocols;
Review referral paperwork for accuracy and coordinate corrections as needed with partner sites
Provide assistance to clients and partner site in accessing telehealth appointment links and problems solving with client, clinician and site based staff
Assist clinicians with obtaining/maintaining updated ROIs;
Provide telephonic/video-based care coordination support to telehealth clients at the direction of Teletherapists;
Ensure the site partners have prepared the client for the session, engage in communication with partner site staff, ensuring client has correct link for the session, scheduling f/u appts and telepsychiatry appts, support clinician with client check in-check out
Coordinate and schedule clinical consultation referrals from El Futuro’s ECHO Clinic;
Assist ECHO referrals in completing paperwork accurately;
Scheduling telepsychiatry referrals from external partners (Jonadab, ORH etc)

General Responsibilities of El Futuro Staff: (10%)
Participate actively in monthly All Staff Meetings.
Play an active role in the continued development of El Futuro’s work via participation in development and other agency-wide activities.
Engage in learning opportunities through “La Mesita”, El Futuro’s training platform and network of bilingual providers in North Carolina.

Qualifications
Excellent customer service skills
Focus on solving problems and working in a team environment
Bilingual in Spanish and English, both written and verbal communication (required)
Have a high-level organization, prioritization, communication, and listening skills.
Experience working with Electronic Medical Records (preferred)
